PTA Planning Meeting

February 26, 2008

Attendance: Lindsay Conboy, Aimee Grable, Jennifer Helfrich, Lea Ann Howard, Sue Parts, and Lisa Pyle.


Officers' Election: Elections will be held at the General Membership Meeting in May. Robin Evans will be publishing open officer positions in the newsletter. The Nominating Committee is contacting committee chairs to see who is replacing them next year. Chairpersons should be told that they are responsible for finding their replacements.

Plans of Work: Any committees that need money before December, must have their Plan of Work approved at the May meeting. This includes Back To School, Ice Cream Social, Sally Foster, and Generations Day. Sue will verify if Membership has this requirement. Spirit should not need money – they take orders, and then purchase goods. Outgoing chairpersons should give their replacements previous Plans of Work as well as a Procedure Book (even if it is just a file folder with deadlines in it).

Treasurer: Lea Ann distributed a February 26, 2008 working budget. Lea Ann will develop the 2008/2009 budget by August, so it can be distributed and approved at Back To School Night. She will ask Cathy Berger about the PTA’s annual audit. Lea Ann said she would look into the program offered by Sun Trust Bank, which makes a donation to one’s designated nonprofit. Lea Ann asked that Lindsay and Melissa have an organizational meeting with her in May to streamline the number of checks received at the start of the school year. Due to the large size of our school population, the PTA Newsletter may have to be copied off site, which will need to be put in the budget.

Copy Making: Lindsay and Jennifer are discussing ways to reduce the PTA’s paper consumption and copier use. Possibilities include opting out of receiving hard copies of the newsletter, which is available online, and designating one carrier student for families with multiple children at RFES.

Classroom Enrichment: Jennifer and Lea Ann will work with Mrs. Deise to determine how the classroom enrichment money is to be distributed. Jennifer will review with Mrs. Deise, a request by the First Grade Team.

President: Jennifer stressed that the goal of the PTA is to advocate for our children; we are not primarily a fundraising entity.
